Multi-Tasking - Is it An Effective Time Management Strategy?

As you browse job postings in the newspaper or on the web, it is very evident that multi-tasking is a key time management competency required in today's work environment. It is implicitly or explicitly spelled out in job postings with phrases such as "Ability to prioritize workload, manage time efficiently and meet set deadlines", "highly organized, innovative, problem-solver", or "Strong organizational skills with ability to multitask". But is multi-tasking really an effective time management skill?

Multi-tasking as we know it today requires people to work on many things all at the same time. But there is a handful of people, myself included, who believe the demands of multi-tasking put undue and arguably unnecessary pressure on employees. This creates stressful work environments and will usually have a negative impact on performance. I believe that the problem with multi-tasking likes in the way it is defined and subsequently the way we attempt to execute it. MSN Encarta's online dictionary defines multi-tasking as "doing several things at once: to perform more than one task at the same time." But is that really humanly possible? As it turns out, there have been many research studies conducted by institutions such as Stanford University, University of Michigan, UCLA and many others into the human brain and its capability of handling multiple simultaneous assignments. The findings of these studies have astounded even the researchers, revealing that the human brain does not function optimally when taxed with multiple demands that must be addressed simultaneously. Allow me to clarify here - this does not mean that employees are incapable of managing multiple responsibilities. What the results of the studies suggest is that the brain prefers to focus on one thing at a time in a designated time period.

The 21st century workplace depends heavily on technology as the primary mode of communication. Everyone owns a company blackberry and it seems that the new expectations for productivity require employees to be connected around the clock. Additionally, social media networking is increasingly gaining popularity as a viable marketing tool for organizations. Employees in the modern workplace find themselves juggling emails, text messages, tweets and Facebook updates with traditional business activities like attending meetings, reviewing reports, balancing budgets and managing projects. Lots of reasons to warrant multi-tasking you say? Well let's take a closer look.

Multi-Tasking - Is it An Effective Time Management Strategy?

International leadership coach and author David Rock wrote the book "Your Brain at Work" and tells his story through the very busy and demanding lives of Paul and Emily. Now I will not pretend to be a neurobiologist and begin discussing the composition and complexity of the human brain. But in order to understand and appreciate the brain's limitations, it is necessary to understand some basic facts about its composition and how it operates. Activities which require problem-solving and decision making skills activate a section of the brain called the prefrontal cortex. This is the section of the brain behind your forehead and it controls all of your conscious behaviors and interactions with your environment. According to David Rock's book, there are five key functions that make up the majority of our conscious thoughts: understanding, deciding, recalling, memorizing and inhibiting. Performing tasks such as problem-solving, communicating, reviewing reports, managing projects and others like these require the use of various combinations of these functions.

These activities rely exclusively on the prefrontal cortex and require a lot of energy for execution. Not surprisingly, through his analysis, he was able to point out what experts have known for a long time and research has corroborated - the human brain - even the smartest of them - is not wired neurologically to process more than one 'conscious' activity at the same time. The two points of focus here are conscious activity and at the same time. While we can manage several adjacent projects, the problems arise when we try to work on more than one project concurrently. Through storytelling he was able to show the effect of trying to do too many things at the same time and how quickly accuracy, competence and credibility begin to suffer. Studies into the phenomenon of 'dual -task interference' have consistently shown that for best performance and accuracy people should focus on one project or task at time. When they add a task that is considered 'imbedded' 'or auto-pilot' performance is somewhat impacted with a slight drop in accuracy. But when they try to juggle more than one high concentration task there is a significant drop in performance and accuracy. Yet despite these consistent finding, most organizations still require employees to engage in 'continuous partial attention' where one's attention is always split between high level tasks resulting in constant mental exhaustion, which, yep you guessed it, impacts the quality and accuracy of our work. Furthermore, these studies also revealed that when juggling more than one high intensity task, people end up taking more time to get it all done, so there is no time saving realized. Yet the facts about how our brains are wired to work remain constant:

- We can focus on only one conscious task at a time

- Switching between tasks uses energy; when we do this a lot we are prone to making mistakes

- Doing multiple conscious tasks at the same time will lead to decreased accuracy and/or performance

- The only way to do two mental tasks quickly and maintain a high accuracy level is to do them one at a time

And so, given the biological limitations of how much the brain can handle at one time, it is important that managers consider the impact on performance and therefore develop realistic expectations for themselves and their employees when it comes to multi-tasking. If we must multi-task there is wisdom in being selective about which activities will be paired together. While it is an expectation that employees are able to 'maximize their time' by working on more than one thing at a time, employees should be careful to pair their top level responsibilities with activities which they essentially can perform while on 'auto-pilot'. These tasks will be less demanding on our energy resources and they rely on a different part of the brain - leaving the prefrontal cortex free to better focus on the more complex task.

And so to better utilize our brain power it might be prudent for us to consider some of the ideas I'm presenting below:

1. Let's properly define multi-tasking for the workplace. From my perspective, multi-tasking in the workplace is much more complex than simply doing several things at the same time. It is a time management competency that requires the ability to prioritize in order to effectively handle the multiple projects on your plate. Multi-tasking is the ability to work smarter by determining when it is appropriate to focus on more than one task at a time. For example, you do not want to be responding to email requests while you are trying to balance your department's budget. But, you may be able to check those emails during your project update conference call as long as you're not a key presenter or even the note taker. Always exercise wisdom when pairing tasks, ensuring that you do not pair two high concentration tasks together. We will not be able to escape the responsibility of multiple projects, but we must exercise full control of our time in order be effective with the specific task at hand. See, the ultimate goal of multi-tasking should not be what volume of stuff can be completed in a short period of time. Instead it should be about efficiency in managing your time to do a good job fulfilling all of your responsibilities.

2. Put away the blackberry when you're in a meeting! This particular issue is a pet peeve of mine, and you may or may not agree with it. I always remember the way I was brought up and constantly hear my mother's voice saying "Stop doing 'that' and look at me when I'm talking to you!" Because 'everyone is doing it', it appears that distracted attendees are an expectation for meetings today. If that is the case, why have the meeting at all? Why not just send a summary of the points you want to address via email since everyone is always checking their emails anyway? Think about it. How many times have you called a meeting because you want to make sure everyone gets the same information at the same time, but the people who you really want to be engaged are only giving you a part of their attention? Then an hour after the meeting they send you an email asking you for information that was addressed and discussed at length during the meeting? See the truth is, while they thought they were doing a good job multi-tasking, they were really more focused on the other stuff they were doing, so they missed the good discussions. The bottom line for me is I don't want to be rude. Therefore just as much as we expect meeting leaders to come prepared to lead their meetings, by the same token we should be prepared to fully participate through listen and when appropriate contributing and giving feedback.

3. This next point is a weakness for me. It is the tendency to work through lunch. I am definitely guilty of this. Remember, the prefrontal cortex where all of our understanding, deciding, recalling, memorizing and inhibiting is done, uses a lot of energy. It's a good idea to take a break in the action and physically remove yourself from your work to concentrate on your meal. Mealtime is refueling time. Think about it. When you take your car to the gas station for a refill you don't leave the engine running while you fill up do you? There's good reason for that. I'm no car mechanic, but it's reasonable to assume that turning the engine off allows the car to be more receptive to fuel being injected and reduces the risk of major mishaps such as sparks from the engine connecting with fuel and causing an explosion! Likewise when refueling your body (and your brain), turn your engines off. Get your energy level back up so that you can function more effectively.

4. Lastly, learn to appreciate the use of the word NO. I've said this before and I really believe this. And so does David Rock. Studies have shown that the average employee spends about 2.5 hours each day dealing with distractions. And once distracted it takes about 25 minutes before you can refocus on your project. But the distraction isn't always external - such as your cube-neighbor's phone constantly ringing and he's not there to answer it, or from your good friend stopping by to say hello just as you were getting your flow with your work. The vast majority of distractions are internal - like thinking about hanging out with your buddies later and how much fun you will have, or what will you do for dinner tonight, or you're still tired from all the partying you did this past weekend. Learning to say NO to distractions, both internal and external, is a skill that can be learned but it requires an ability to focus. For internal distractions, David Rock describes the ability of putting on the breaks and nipping internal turmoil in the bud before the ideas have a chance to take root. Be forewarned though, you have about 0.2 seconds to make that happen! For external distractions be OK with pressing "send calls to voicemail" on your neighbor's phone; or ask your buddy to connect during lunch instead so you can stay focused. Additionally, sometimes for high performers the distraction comes in the form of additional projects and responsibilities. If your docket is full, don't be embarrassed to admit it. Taking on a new project when you're already stretched to your limits is not wise. If saying no is not an option, consider discussing expectations and priorities with your manager. What are the expectations and how realistic are they? What is most important to the business at this time? And what are the consequences if things begin falling through the cracks because you have too much to handle?

The reality is, if we are honest, we have to admit that multi-tasking as we have come to know it does not always benefit our business. We don't get more done in less time. It actually takes us longer to get things done right if the quality and accuracy of our work is important to us. Whenever we are rushed or pressured to get more things done faster there is a high likelihood that the quality and accuracy will be compromised. So the question we should be asking ourselves (and our managers) is: what's most important at this time - is it the amount of work we can get done in a finite amount of time, or is it the quality of our output? There is ample research that supports the fact that as quantity of work increases, quality of work decreases. We should therefore decide which one is most important to our businesses and to us - quantity or quality. Pick one 'cause it can't be both.

Online Social Networking - Using It To Support Your Ministry Or Non-Profit

If you are a busy community leader of a non-profit or spiritual organization, probably the last thing you have time for is reading a slew of status updates on social networks, responding to event and game invitations. Nevertheless, if you work with people, you have probably become aware of how important social networking has become, especially for the younger generation. Maybe you have even become concerned about losing the connection with the social networking communities but have been equally concerned about also losing your mind with the hectic, and seemingly pointless social network environment that don't seem to be a match with the mission of your organization. You don't have to go crazy and you can use social networking without having it take over your life. That is, if you keep it simple from the start.

Here is how I used online Social Networking to support my non-profit spiritual organization without become overwhelmed by it. With a few easy, self-imposed rules, I have been able to benefit from the fast moving, world-wide connectivity of free online services, such as Facebook.

My first personal rule is to accept no application invitations (games, birthday dates, favorite person, etc.)

Although Facebook is used for communication with family and friends, it is a growing resource for organizations to promote awareness about their activities, services and events. If you plan to use Facebook for the latter, it is advisable to avoid using the 'fun' features that are more appropriate for use with friends and family connections (although, even among loved ones you can quickly become unpopular for too much of these features.) Fun features can also be a blow to your credibility if you get entangled in one of those send-to-twenty-friends applications. My advice: step away from the apps. Block them.

My second personal rule is to only accept friend request and not seek out friends.

Although it may take longer for you to build a network of friends, if you accept my advice, you will over time develop a network of people who genuinely want to hear from you and who have opted-in to know about your organizations work through their connection with you. This way, when you create an event and send invitation to your friends, you have an excellent chance of being received with interest. This is a different strategy from developing business connections where it may make sense to have as many friends as you can. My advice: rather than solicit friends, join groups with similar interest and post interesting comments that will attract those who have an affinity with your organization's mission.

My third personal rule is to limit upkeep and update time

You don't have to continually update your status. Too many updates may even work against your goal of staying in contact with people who are interested in your organization. I enjoy reading articles on new technology and gadgets and have been following a few popular online magazines via Twitter. I recently un-followed a few because of the volume of update and messages that began to annoy me rather than inform me. I also follow a popular teacher in the human potential movement and her messages come about once a week. I make sure I don't miss them.

My fourth personal rule is to use free automation to keep my content fresh and to free up my time to do more important things

There are a number of free and paid services that you can use to write short, relevant updates that will be posted automatically to your Facebook status. You can write these in advance and queue them up for later delivery so you can go about your business. I use one in connection with my blog so that new blog entries are announced on my Facebook status page. They are scheduled and ready to go and I'm free. (Search for "schedule Facebook updates" to find dozens of articles and recommendations.)

I hope this information will help you get started in using Facebook or similar online social networking. It is my belief that with a little time and effort it can be used to serve your mission.

The Seven Characteristics of a High-Performing Team

If you lead a team, you know that the journey to high-performance is ongoing. It's the rare team that achieves high-performance and just stays there. In my business life, whether I've managed a team within an organization, or run my own company, it's been unusual to keep the same team together for longer than a year. Team members come and go, driven by the needs of the organization and their own career goals. And every time the members of a team changes, the team needs to regroup and refocus.

Shared Purpose and Direction

On a high-performing team, everyone on the team is committed to the team's purpose. They know exactly what that purpose is because the team leader keeps them focused by constantly communicating that purpose in team meetings and regular updates. The team leader helps each individual team member meet his or new own needs while serving the overall purpose of the team.

The Seven Characteristics of a High-Performing Team

Motivating Goals

The team leader ensures that everyone on the team has clearly defined goals and targets. In some organizations, the strategic goals and departmental objectives are determined by senior management. In that case, the team leader makes sure that these goals are clearly discussed. Team members should understand how their jobs support the achievement of the defined goals, and, if possible, have the opportunity to develop individual goals and action plans that spell out how they will contribute to the success of the organization.

Commitment to Individual and Team Roles

On a Total Team, team members have clearly defined expectations but they also understand how each of their roles is linked to every other role. Team leaders ensure that team members are cross-trained in other responsibilities so that everyone can back each other up when needed. The team leader makes sure that individual job responsibilities are fulfilled, but, at the same time, works to help the individuals develop a common language, processes and approaches that allow them to function as a team.

Multi-Directional Communication

On the best teams, team members solve problems, communicate with each other, and keep the team leader updated on current challenges or emerging issues. On low-performing teams, communication is one-way (from team leader to team members) or two-way (between the team leader and individuals). Skilled leaders focus on developing multi-directional communication, avoiding the trap of communicating with individuals members of the team.

Authority to Decide or Act

No doubt about it, new teams may have to earn this authority by demonstrating that they understand the team's purpose, processes and priorities. However, effective team leaders work toward pushing authority for the team's outcomes to the team members. Team members know how and when to get approval for decisions and, in the best of cases, are charged with making on-the-spot decisions when a customer is facing them. On low-performing teams, team members have to constantly get approval before taking action, significantly reducing their effectiveness and negatively affecting their sense of engagement on the team.

Reliance on Diverse Talents

Savvy team leaders pay attention to helping team members understand their unique strengths, talents, and weaknesses. No individual team member can be good at everything. The best team leaders assist everyone to develop an appreciation for individual style differences, natural gifts, and personal experience. Teams are encouraged to use the language of acceptance and appreciation, rather than criticism and judgment. Team leaders consciously hire team members who bring complementary skill sets, unique experience, and diverse perspectives.

Mutual Support and Trust

The seventh characteristic may be the most important, and frankly, is probably the most elusive. The team leader can't force a team to be supportive and trusting--it's a natural result of shared responsibility, shared success, and mutual respect. The high-performing team achieves mutual support and trust because they have a history of working together to achieve grand dreams and results. They have met challenges, overcome obstacles, backed each other up in good times and bad. The Total Team has earned each other's trust.

Building a high-performing team is not an easy task. However, if you're a team leader that is up to the challenge, then consciously focus on developing these seven characteristics. Bring them to your next team meeting and ask team members to evaluate them. How do you know whether each of these characteristics is present or absent on your team? What is the team willing to do to develop these seven characteristics? Then ask the individuals on your team to commit to 3 - 5 specific actions they will take in the next 60 days. Revisit these commitments regularly and see what develops. I guarantee a rewarding journey to high-performance.

How To Make A Profit In Business

We all going into business to make money and keep what we make. How do we go from making money to making a profit? How do we stay competitive, increase our cash flow and become better at what we do? Here are some ideas for making a profit in your business venture.

1) Be great at what you do, by becoming the best in your business

As an entrepreneur the more you know the better. What you know can help you make a profit. You have to have book sense, business sense and common sense working together to make and keep your profits in business. Book sense incorporates knowing everything there is to know about what you are selling, whether it is a product like web site design, food or gifts, or a service like hair styling, investing or moving company. The more you know about the service or product the more comfortable your investors will feel about giving you money. Your customers will trust and have confidence in you and prefer your service over another.

How To Make A Profit In Business

Business sense will keep you in business and protect you from getting ripped off. It requires you to know the true cost of your supplies, so that you do not pay more than you have to. This is about you knowing where shop, what licenses you need so that you are legal and how to do things the right way. Common sense- you may be in situations where you are the youngest person in the room and may feel intimated, do not let your fear or intimidation stop you. If your common sense is telling you something is not right, it probably is not right and you need to trust what you know and make a decision to wait before making a move.

Business education no longer requires costly, lengthy college courses. Many entrepreneurs who have been successful in their fields are writing books on how to start similar businesses. They are great sources of information. You can obtain information and training from a variety of sources such as: experts in the field, competitors, entrepreneurs training centers, seminars, conferences, and books. With the increase in entrepreneurship ventures access to training is readily available and affordable

2) Know who your customers are and fight to keep them

Why so many businesses fighting for the attention and patronage of your customer? Take the time to investigate your potential and current customers. Once you think you have found them, test the market and see if they buy the product. If they are not buying your product or making a sale is extremely difficult you wan to re-evaluate and go back to the drawing board and investigate some more. This will help you determine if your target is off or your strategy of reaching them is off. If you want to sell to the affluent your style, appearance, use of language will be much different from selling to middle class families. You must in these cases be able to relate to them and meet their concerns. Can a person on a shoestring budget reach the affluent and wealthy? Yes, if they are capable of finding a common ground in which they can use to build a relationship from and are able to meet the unique needs of that segment of the market. You can sell the same medicine to the wealthy and middle class, but your packaging and presentation will be entirely different.

Some businesses think that once they have their customers, the work is done. Not so, this is just the beginning. You will find that some other entrepreneur is coming up right behind and is hungrier than you are, and ready to offer more for less. Your customers are never safe, which means you want to build and keep the relationships current and purposeful. This may mean sending your customers updates about how your company is doing, new product or service offerings. If there is nothing new going on in your business (which should not be) then you can send birthday cards and other items to let the customer know that you are thinking of them. Profitable businesses specialize in personalization.

3) Have a constant stream or method for recruiting new customers

Have you ever seen a brook or river run dry? It is a sad sight, no longer is that brook good for giving water, oxygen or even a pleasing sight to on lookers. It becomes a hole in the ground collecting dirt and debris. Your business should never face the same fate, to avoid this you must keep the source full. Your source is the how you get new customers. As entrepreneurs we are so busy maintaining the business and running straight ahead that we do not focus the priorities. Never take your eyes off where your customers are coming from. Nurture and maintain your source for recruiting new customers. For example if your source is the relationships with vendors, stores, or magazines then maintain those relationships buy paying on time, responding to emergencies and meeting needs. If your source is referrals, then reward those who are referring customers to you.

4) Manage your income streams so that they do not run out

Profitable businesses make sure that what they are putting out financially is being replenished by what is being brought in. Keep the rule of earning at least five dollars before you spend one. Two dollars are for paying expenses, one for replenishing supplies, one for advertising and the other for maintaining the payroll or the entrepreneur. There are so many needs for a small business and new business, from supplies to inventory. The needs seem to outweigh the provisions at times, yet we still need to be able to operate and function without breaking the bank. This is when you want to create your wish list, and your shopping list. As an entrepreneur we can live in the office supply stores and be roped in by vendors into buying equipment that takes classes and several months to master. To get overhead low you must manage you income streams making a budget for all your expense and needs. This can be achieved by dividing the money coming into your business to make it pay for the preset priorities. Determine your bills, expenses and business equipment or operations needs. Give a date to purchase each items by and do not buy anything until you have collected the necessary money for it. If you are going to lease equipment have a stream of income that will support this new expense so that your payments are on time and your credit is being built up. To often home businesses and store fronts are both guilt of spending what they have not made and drying up the income streams. Anything not being replenished at the same rate it is being used is in danger of drying up quickly.

5) Charge what the service is worth

It is important to the profitability of your business that you charge what your service or product is worth. Then it will take a shorter time to see profits. If you undercharge then making a profit takes a lot longer and much more effort. Price right the first time so that you are meeting your expenses and have money for savings or reinvesting. Charging the right price will set your business in motion and head on the right path.

CPA FAR Exam - 3 Must-Read Study Tactics

The CPA FAR exam is one of the toughest exams among the 4 sections in the Uniform CPA examination. In fact, the passing rate is only 48.5%, second lowest among the 4 tests. The questions for you is: why is FAR so difficult, and what is the best way to tackle the beast? Here are 3 suggestions based on my personal experience.

1. Manage Your Time During Your CPA FAR Exam Study

Time management is critical for CPA FAR exam given the huge amount of volume you will need to study and review for this particular section. While it depends on your knowledge in the financial accounting concepts, I generally recommend at least 3 months to prepare for this exam. Most people with some knowledge in accounting (which you should with all the education requirements) can finish the coursework within 6-8 weeks. This would leave enough time for you to catch up, or better yet, to devote the last month in working intensely on the practice tests.

2. Seek Help In Scheduling Your FAR Coursework

The FAR exam is like Lake Superior of one-inch deep: while the amount of materials looks overwhelming, the exam neither gets too difficult nor goes into too much details.

This is excellent news because it means that candidates usually can pass the exam if they have ample time to study and prepare for it. This also means that a CPA exam review course is especially helpful for FAR because the guided review makes sure you cover all the grounds. Please take the time to pick the best (not the most expensive, but the most suitable) CPA exam review course for you - it could very well be the ticket to pass the CPA exam on your first attempt!

3. Manage Your Time During Your CPA FAR Exam

You may not realize, but how you manage your time during the CPA exam is also very important for your passing success. Many candidates struggle to finish FAR, which could be one of the main reasons why this section has a relatively low pass rate.

You can overcome this potential issue by a conscious effort to allocate your time for each sub-section: the testlets and the simulations.

There are 4 hours for this exam, which means that in general, you can allocate 45 minutes for each testlet (i.e. 2 hours and 15 minutes for the entire multiple choice questions), leaving 1 hour and 45 minutes for the two simulations. You can either allocate 45 minutes for each with 15 minutes to spare, or maximize the time by giving approximately 50 minutes for each simulation.

Rather than blindly following this schedule, a much better way for you is customization based on your own relative strength / weakness in each area. Please take the time to complete an entire CPA FAR mock exam and see how long it takes to finish the multiple choice questions vs simulations.

Problems With Xbox 360

The Xbox 360 video game console is subject to numerous technical problems that can extract it unusable.

Many of the issues can be recognized by a series of red lights flashing on the face of the console the three flashing red lights also known as "Red Ring of Death" being the most infamous which every gamer is avoiding off. Another error you may experience is the error code 0020 or the "unknown error code". The X-Clamps warp the board which can cause the GPU to lose good contact with the heat sink and the crap thermal compound doesn't work. This is just a minor problem that most often time could be fixed in just a couple of minutes.

The overheating of your system is one problem that you should not be ignored. The Xbox 360 video game console is very complicated and fragile type. The game console heats up during excessive use, and given enough time, the temperature inside can reach very high stages due to unsatisfactory cooling. An overheated Xbox 360 is indicated by both left quadrants lighting up red. Because of the way the Xbox 360 is constructed, this may result in stresses building up between the delicate ball grid arrays solder joints of the CPU and GPU and the motherboard causing them to break. Throwing a Shipwrecked Island Party Makes The Most of Summer's End

Rather than being sad when the end of summer rolls around, I say, it's party time! Instead of feeling like your boat has run aground by the end of summer, why not throw a summer's end soirée that's fun for the whole family...maybe even the whole neighborhood!

If the thought of throwing a party is akin to walking the plank and jumping into the dark abyss, then think of me as your life preserver! I'll take you through the process of putting a party together using my simple formula for creating memorable events. When we're done organizing the details of your summer party into six easy-to-remember elements, you'll be sailing smoothly into an experience that your guests will treasure for many summers to come. Ahoy matey!

Element #1 - Theme, Mood, & Color: Carry Out Your Theme in Everything You Do

Throwing a Shipwrecked Island Party Makes The Most of Summer's End

Every great party starts with a great theme! For your summer's end soirée throw a Shipwrecked Island Party! What is s a shipwrecked island party? Well, it's a not an island luau, although a luau-style feast could certainly be a part of the festivities. It's not a pirate party, although a few pirates in attendance might add a bit of fun, and it's not a beachcomber party, although you'll want plenty of sand and seashells in your décor. Think of a deserted island inhabited by a group of tattered castaways hoping for rescue and you'll get the picture.

When creating the theme for this party, I found it helpful to use my "imagination board" to perform a "brainstorming" exercise. An imagination board is a large dry erase board that affords you plenty of room to write and allows a free flow of ideas. To begin with, I wrote my theme name, "Shipwrecked Island," in the center of the board and then around it wrote down everything that came to mind such as boat, sails, treasure, stranded, beach, shells, trunks, chests, mosquito nets, fishing nets, palm trees, flowers, coconuts, fish, and crabs. Then, to help get my creative juices flowing, I thought about all the great movies, TV shows, and music that had to do with shipwrecks, islands and castaways, like "Titanic," "Lost," "Swiss Family Robinson," "Castaway," "Survivor," the "Gilligan's Island" theme song, and tunes by Jimmy Buffet and Bob Marley. I used these ideas as inspiration for my invitations, decorations, menu and signature drink, activities, and special touches.

Element #2 - Invitations: Make Them Inviting

If you were on a deserted island somewhere and needed help, something you might do is write a message in a bottle and cast it out to sea in hope that someone would get your SOS. This is both a fun and easy idea because there are many places you can find message-in-a-bottle type invitation kits both online and in brick and mortar craft stores, or you can make your own using real glass bottles.

Most craft kits include paper, but if you don't like the paper choice, you can opt for your own. Start your invitations with a great opening line that ties into your theme. Something like: "Come Get Stranded for a While" (taken from my brainstorming exercise). This opening line sets the tone for the party and let's people know they're in for some fun. Be sure to include the who, what, where, when, and why details. Encourage guests to wear tattered clothes, their castaway best, to add a fun and casual feeling to the party and another layer of authenticity. Add interest to the inside of the bottle by including some sand and a few tiny seashells. Finish the invitation off with a twine embellishment simply wrapped around the neck of the bottle, adhere your mailing label over the ends of the twine and your done! You've created a fun invitation that will make people want to come and get lost for a while!

Element #3 - Decor & Ambiance: Set and Setting Are Everything

The trick to decorating for my summer's end Shipwrecked Island Party was keeping in mind that it was all about creating illusion. My house was the ship and the yard the island. To board the ship, guests had to walk the plank which was surrounded by an interesting display of washed up treasures including a small antique chair, some sand to give the illusion of the shore, an old hand mirror, jewelry, tarnished pewter candleholders, and other items that looked water damaged and time worn.

To enhance the island feel, around the perimeter of the outdoor party space I placed a vinyl "Scene Setter" of the sun setting brilliantly over the ocean titled "Sunset Beach" (available online from Party City). A few potted palm trees, dried palm fronds, and lush bouquets of tropical flowers completed the look I was after.

However you go about creating your summer's end theme, there are two things to keep in mind to maintain the authenticity of your party: (1) Remember if you were on a deserted island, you would be surrounded by water; and (2) When selecting decorations, choose items that are found in nature, things you might actually find on a deserted island, like palm fronds, shells, leafs, driftwood, and tropical flowers, and use natural colors and fibers such as brown raffia, twine, and brown rope.

Element #4 - Food & Beverage: Never Stress About Food and Drinks

The menu for my summer's end Shipwrecked Island Party included a signature cocktail I created called "Blue Lagoon." Made with blue Curacao, a liqueur flavored with the dried peel of the laraha citrus fruit grown on the island of Curacao, this delicious drink, with its lovely deep blue color and served in a large clam shell punch bowl, is reminiscent of a tropical lagoon. If you've taken the time to prepare a great cocktail, the best way to do it justice is to serve it in an appropriate glass. Using the right glass for the right drink can accentuate the smell, texture, and flavor of the beverage. So for my signature Blue Lagoon cocktail, I chose coconut cups, although another fun idea would be to use mixed-matched glasses, mugs, and cups that have seemingly washed ashore after a shipwreck. Both are reusable, environmentally friendly options over plastic or paper cups.

Which brings me to serving pieces -- to create a clever and unique buffet table for this shipwreck party, use mix-matched serving pieces that again, have seemingly washed ashore or that you would find in nature, such as palm fronds, tropical leaves, bamboo mats, driftwood, and shells. Luau fringed place mats are fun, as are beachcomber hats, which also make great serving bowls when turned upside down. Additional table décor might include an eclectic mix of clear-glass bottles wrapped with twine and filled with seashells and flowers.

Element #5 - Activities: Engage Your Guests in An Activity

"Ahoy Matey! This is the spirit of Captain Blue Beard of the once dreaded pirate ship the Marine Pearl. If you are reading this [ARGH] it means you've found me treasure maps! So, make two teams and give a map to each. If you wants to find me gold, you gotta first find me clues. The maps will show you the way. When all the clues are found, join teams to unscramble the words. This shall point the way to me treasure chest and your reward!"

A treasure hunt can be great fun at a party yet challenging to pull off. I'll break it down, however, into seven easy peezy steps using the treasure hunt created specifically for this Shipwrecked Island Party Plan.

For this activity, you'll need: - 2 blank treasure maps - A Sharpie pen - Gold coins - A treasure chest with booty or treasure - 2 pieces of note paper - Twine to tie up the scrolled maps.

Step 1 - The maps. Start with a blank map (which can be bought online). Customize it to reflect the key areas of your party space where the treasure hunt will take place. Make a copy so that you have two identical maps, one for each team.

Step 2 - Decide where to hide the treasure chest and make up a clue that describes the location. I hid my treasure chest in a back corner of my yard so my clue read: "Between two gates on the Southwest shore."

Step 3 - Using a Sharpie pen, write your clue using letters, combinations of letters, and words on 16 gold coins, so that there are 8 clues/coins per team.

Step 4 - Separate the coins into two piles. While hiding one set of coins, mark one of the maps with each location of the hidden clues. Repeat the process with the other map and set of coins using another part of the party area.

Step 5 - Roll up the maps and tie them with twine.

Step 6 - Type the above note from Captain Blue Beard and attach it to the maps so that everyone knows the rules of the game. If you're working with small children, it's a good idea to have at least one older child on each team who can read and help the others understand.

Step 7 - Hide the booty-filled treasure chest.

For a variation, put a lock on the treasure chest and ask your guests to do something fun or silly to win the key to open it. Done right, this treasure hunt can be fun for adults too. Think of all the creative things you could put inside the chest. I'll leave that to your imagination.

Element #6 - Special Touches: Set Your Party Apart, Give Them Something From the Heart

Get your guests in the mood for your summer's end Shipwrecked Island Party with a favor to enhance their experience during the party itself. Upon arrival, give each of the adult men a lei made of tropical fern leaves, orchids, or seashells; the women, flower hair clips. Give the children something extra special. Fill goody bags with a pirate hat, an eye patch, a hoop earring, a telescope, chocolate gold coins, and a few other fun costume pieces that will transform them into pirates. Outfitting the kids as pirates ties in beautifully with the treasure hunt they'll be doing later as an activity. To enhance their pirate experience, create a Pirate's Cove or a place where they can congregate and play during the party.

A clever and simple way to tie in a birthday element is to have your young buccaneers sing Happy Birthday to the birthday guest of honor in exchange for the key to the treasure chest at the end of the Treasure Hunt.
